Job Description
Leonardo/ISAST at Arizona State University is seeking a highly organized and detail-oriented Executive Administrative Support Specialist to join our dynamic and fast-paced environment at the nexus of art, science, and technology. As the Executive Administrative Support Specialist, you will play a vital role in providing executive administrative support to our Executive Director and Chief Strategy Officer. You will have the opportunity to assist in scheduling, calendaring, and reserving spaces across ASU campuses, ensuring efficient coordination of their activities. Additionally, you will be responsible for handling expense reports, maintaining meticulous records of expenses and reimbursements, and working closely with our travel coordinator to arrange domestic and international travel, including coordinating hotels, flights, transportation and reimbursement. Flexibility in work arrangements, including remote work opportunities, is available.
In this role, you will also have the opportunity to contribute to our various communication efforts, such as updating our website and coordinating the sending of marketing emails to various internal and external units. Furthermore, your attention to detail will be critical in ensuring the accuracy and quality of our communications.

Essential Duties
- Provide executive administrative support to the Executive Director and Chief Strategy Officer, including scheduling, calendaring, and coordinating activities.

Minimum Qualifications
Bachelors degree in Business or field pertinent to work unit AND four (4) years of directly related administrative experience; OR, Eight (8) years of directly related administrative experience: OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Experience as an Executive Assistant.
- Experience in work that requires attention to detail.
- Experience working in an international think tank focused on the arts, sciences, and technology.
Working Environment
- Climate-controlled office setting subject to extended periods of being in a stationary position.
- Constantly detects and operates a computer and other office productivity machinery, such as a calculator, copy machine and computer printer.
- Ability to clearly communicate and exchange accurate information to perform essential duties.
- Expected to be responsive to customers, engaged in work production, resourceful, flexible, and respectful of others.
